PUT/v1/cards-by-external-id/{external_id}

Create or replace a card by external ID

upsert_card_by_external_id

Creates or replaces a card by the integrator's external_id. Send text as application/json (CardTextUpsert) or a file as multipart/form-data (CardFileUpsertForm, with the same file checks as POST /v1/cards). If the organization has no card with this external_id, the card is created in the collection and folder from the body (201). Otherwise, the content is replaced with a new version and indexed again the same way as a new version of a file, and the card details (title, tags, owner, category, metadata) take the values passed (200). Unchanged content does not create a new version (status: skipped, reason: unchanged), so repeating the request is safe even without Idempotency-Key. When metadata is passed, it replaces the whole object. Access is checked as for an upload when the card is created and as for a card update when it is replaced. The content of a card that is only partly visible to the caller is not replaced (403 cards.content_whole_access). Source cards are not overwritten this way: if the external_id belongs to a document of a custom source, or the card found is maintained by a source, the request returns 409 cards.managed_by_source. Changing the content removes the verification of the card, as any new version does (reason update).

Authentication

Send an API key in the Authorization header: Authorization: Bearer <key>.

Path parameters

  • external_idstringrequired

external_id of the card: a string of 1–512 characters, unique in the organization.

    length ≥ 1, length ≤ 512

Header parameters

  • X-View-Asstring

For API keys with the admin role only. Makes the request as the data profile <profile>[:viewer|verifier|editor], for example employee:viewer. The installation key cannot use this header (403).

Cookie parameters

  • kb_view_asstring

Cookie of the “View as” mode for a session. POST /auth/view-as sets it and DELETE /auth/view-as clears it.

Request body

application/json

Object: CardTextUpsert

  • titlestring

    length ≥ 1, length ≤ 200

  • bodystringrequired

Card text in the content_type format.

    length ≥ 1, length ≤ 500000

  • collectionstring

Collection by name, when the card is created. By default, the default collection of the installation.

  • collection_idinteger | null

Collection by ID, when the card is created. When collection is passed too, collection_id wins.

  • folder_idstring | null

Folder of the collection for the new card, with the same checks as folder_id of a file upload.

    length ≤ 64

  • tagsarray of string | null

    items ≤ 30

  • categorystring | null

    length ≤ 60

  • sensitiveboolean | null
  • owner_idinteger | null
  • verify_interval_daysinteger | null

    ≥ 1, ≤ 3650

  • asyncboolean

true returns right away and indexes the card in the queue; false returns after indexing.

    Default: false

multipart/form-data

Object: CardFileUpsertForm

  • filestring (application/octet-stream)required
  • titlestring | null

Card title. If not passed, a new card gets the file name and an existing card keeps its title.

    length ≤ 200

  • collectionstring
  • collection_idinteger | null
  • folder_idstring | null

    length ≤ 64

  • tagsstring

    Comma-separated tags.

  • owner_idinteger | null
  • verify_interval_daysinteger | null
  • categorystring | null
  • sensitiveboolean | null
  • metadatastring | null

metadata: a JSON object as the value of the form field. The rules are those of MetadataPatch.

  • asyncboolean

    Default: false

Responses

200The card already existed. Its content was replaced (`queued`, `ready`, `error`) or did not change (`skipped`).

Response headers

  • RateLimit-Policy

Limits in effect, in the format of the IETF draft draft-ietf-httpapi-ratelimit-headers: comma-separated items "<name>";q=<quota>;w=<window in seconds>. key is the request rate of the API key (the quota is the burst, the window is the time to refill it fully; for a session it is user, without credentials ip); minute, day and month are the organization's quotas for the calendar minute, day and month in UTC.

  • RateLimit

What is left of each limit in RateLimit-Policy: "<name>";r=<remaining>;t=<seconds until reset>.

  • X-RateLimit-Limit

Limit of the strictest entry in RateLimit-Policy (the one with the fewest requests left).

  • X-RateLimit-Remaining

Requests left under the strictest limit.

  • X-RateLimit-Reset

Seconds until the strictest limit resets.

application/json

Object: UploadResult

  • statusstringrequired

    Allowed values: queuedskippedreadyerror

  • job_idinteger
  • jobJob
  • cardCard | null
  • duplicatetrue
  • card_idstring | null
  • reasonstring

unchanged or an identical file is already indexed.

  • tablesinteger
  • timingsobject
    Fields
    • total_snumber

Error codes

Codes this endpoint can return in error.code, besides the general codes of every request.

Rate limits

Responses carry the RateLimit and RateLimit-Policy headers and the earlier X-RateLimit-Limit, X-RateLimit-Remaining and X-RateLimit-Reset. A 429 response has Retry-After in seconds: wait and retry.
